01Who is OK WORKD for?
It is for organisations that want one place for company and employee daily work.
02How do employees access the system?
A company administrator adds employees and assigns access by position.
03Can the workspace be configured?
The system owner and company can configure the workspace according to granted permissions.
04If an employee forgets to check in, resulting in a late check-in or being marked absent after their scheduled work time, is there a way to resolve this?
The system supports this. If an employee forgets to check in, they can check in immediately. After checking in, they can submit a "forgot to check in" request, and once the company approves, the employee's normal start time will be restored.
05If an employee accidentally checks out before the end of their workday, it may result in an absence. What should be done?
The system allows employees to submit a request for a faulty checkout. If the company or employer approves, the end time will be reset to the normal end time.
06What happens if an employee forgets to check out after work?
The system supports this scenario. Employees can check in for the next shift upon arrival, as the system prevents a new check-in if the previous session hasn't been checked out. There is also an optional automatic check-out feature; companies can configure the system to automatically check out employees a set time (e.g., two hours) after their scheduled shift ends. If employees work overtime, the automatic check-out time should be set to allow for this, enabling them to check out after their regular shift. Alternatively, if the automatic check-out triggers while an employee is still working overtime, they can request a time adjustment from the company.
07Can employees cheat on their working hours?
Let me tell you, it's not. Because the system will pull time from the network to record time.
08Would employees be able to check in or check out from home in this case?
I can tell you definitively no. This is because there's a GPS time clock system that allows you to set a minimum distance (in meters) for employees to clock in. Employees using computers can also use them for check-in. The system currently only allows employees to select one device for clocking in; changing devices requires a request. The highest package also allows employees to take photos and check in automatically.
09What should I do if an employee lets a friend log in to their account to clock in for them?
No, that's not possible. If the company allows employees to use a single-device time clock mode, any device registered as the time clock will not be able to clock in from other devices, although they can still view history and submit requests.
10Can I set my work schedule and work across days?
Absolutely. The system supports it.
11Is there an overtime system after work hours?
Yes, it is (available in some packages), and it's very flexible. Companies can set how many minutes after a employee checks out to automatically receive overtime pay, or they can request overtime pay after the employee checks out. Companies can choose the usage option.
12Can employees work part-time overtime on holidays? Will the system report them as late or absent because they didn't work a full day?
That is certainly possible, provided the package supports it. If the company requires employees to request approval for OT days, they can simply submit a request for an OT day. Alternatively, if the policy requires the completion of standard working days first, an employee can request approval for an OT day once their total days worked—after deducting holidays—exceed the standard number of working days for that month.
13Can I take a half-day off or leave when I'm not working a full day?
Yes, it's possible, but only with supported packages. When the company grants employees leave, the leave time will be charged in minutes.
14Is it possible to export employee timekeeping records to an Excel spreadsheet?
You can do that if it is included in the Premium or Ultimate packages.
15If an employee forgets to clock out and clocks out the next morning, will the system count it as overtime?
If the software package supports it and the company configures the system to calculate overtime (OT) automatically, OT will be recorded immediately. However, I would recommend setting up the system to require approval for OT; this way, OT won't be calculated automatically. Instead, employees would need to submit an OT request, and the company would have to approve it.
16Is there a salary calculation system?
The Premium and Ultimate packages include a built-in payroll calculation system. It handles factors such as late arrivals, absences, leave, overtime, and taxes; HR simply needs to click "Calculate," and the system automatically computes earnings and deductions. Employees can then verify the accuracy of the figures via their payslips.
